Most couples organise a wedding once in their life. You don’t do this professionally, you don’t know venue price lists or band rates, so the first question is simple: how much does all of this cost? Type it into Google and you’ll get a range. I went through the first page of Polish search results in September 2026: for a wedding of a hundred guests they start at roughly 50 000 PLN and end above 140 000 PLN. None of those articles says how many weddings the figure was based on.
I won’t add my own number pulled out of thin air. I’ll show you what this bill is made of, what each item costs according to the price lists that venues and suppliers publish themselves, and where the money leaks out quietly. I checked the prices below on 25 September 2026, and I name the source for each one. All amounts are in Polish złoty (PLN). I don’t convert them into euro or pounds, because the exchange rate moves, so check the day’s rate before comparing these numbers with prices at home.
I’m at a wedding from getting ready until the bouquet and veil ceremony around midnight, so I see the whole day, including the parts someone pays for even though nobody planned them.
Per-guest costs and fixed costs
Every item in the budget belongs to one of two groups.
Per-guest costs are everything you multiply by the number of people: a plate, alcohol, a slice of cake, an invitation, a room for the night. Ten more guests means ten times more of the same thing.
Fixed costs stay the same whether sixty guests turn up or two hundred. A DJ plays for a hundred and for two hundred guests at the same rate, unless a bigger venue means an assistant or extra sound equipment. It’s the same with the photographer: a wedding of eighty and a wedding of a hundred and fifty guests is the same working day and the same editing for me. Outfits, rings, hair and make-up, the video and the registry office fee belong to this group too.
This distinction matters more than it looks, because it decides how much you actually save by shortening the guest list.

What each thing costs: figures from real price lists
First, something worth knowing from the start: most venues and suppliers don’t publish their prices. Out of sixty five venues near Warsaw that I checked in September 2026, one gave a price per guest. Below are the items for which a price list is public. These aren’t averages, just concrete offers, so you know roughly what range you’re dealing with.

I name the venues, because their terms are part of your bill. I don’t name the service companies, because this isn’t about recommending a particular DJ, only about the scale. I’ve written about the photographer’s price separately in the post on how much a wedding photographer costs.
How much does a wedding cost for 100 guests versus 60? Let’s do the maths
I most enjoy photographing weddings of up to about sixty guests, so I hear this question often: if we invite fewer people, how much will we save?
First, about the number itself. Sixty guests isn’t sixty invitations. Most guests come as couples, and anyone without a partner often brings someone along anyway. So sixty guests is roughly thirty invitations, and a hundred guests is around fifty. Start your list from invitations, not from people, and decide straight away who gets a plus one. Every plus one is a full per-guest cost, the same as for a cousin.
Now the maths. Let’s take two round numbers. This isn’t a price list or an average, just an assumption to show how the mechanism works. Put your own numbers in afterwards.

- fixed costs, meaning music, photographer, video, outfits, rings, decorations and the registry office: 35 000 PLN.

Forty fewer guests, roughly twenty fewer invitations, saved 18 000 PLN in this example on a bill of around 80 000 PLN. That’s a lot, but less than intuition suggests, because the fixed costs stayed exactly where they were. A single guest at a small wedding ends up costing more, because the same 35 000 PLN is split between fewer people.
I’m not writing this to put you off an intimate wedding. I like them best myself. I’m writing it so you know that at a small wedding, shortening the list stops being the most important decision. What decides the bill there is the fixed costs and the venue’s terms, covered below.
Saturdays cost more, and a small wedding can be billed like a big one
Venues sell Saturdays in season most easily, so it’s on Saturdays that they hold their prices and terms. Before you commit to a date, check two things.
A flat fee or a minimum number of guests. Gościniec Oycowizna in Lesznowola states it plainly: up to a hundred guests you pay a flat fee of 40 000 PLN, and on Saturdays a minimum of a hundred guests applies. At sixty guests that works out to roughly 667 PLN per guest, at a hundred it’s 400 PLN. This isn’t a criticism of this venue, it’s a rule published honestly, one that many venues apply without writing it on their site. Hotel Venecia Palace only quotes its 350 PLN per guest rate for weddings above a hundred and fifty guests, and sets an individual price for smaller ones. If you’re planning a small wedding, ask about the minimum first, before you even ask about the menu.
Friday, Sunday and off-season. The same Oycowizna gives a 10% discount on Fridays and Sundays all year round, and on every weekend in March, November and December except around holidays. On a 40 000 PLN flat fee that could be 4 000 PLN, if the discount applies to the whole amount, so ask about that too. Dworek Białołęka in Warsaw mentions a discount for Friday weddings, though without stating it. Most venues don’t publish differences like this, but asking about the Friday and Sunday price costs nothing.
Friday also has a cost you won’t see on a spreadsheet: some guests need to take a day off work, and those travelling from further away will arrive later. For a wedding with family from one town, that’s a minor thing. For guests from all over Poland, it isn’t.
What a venue can add to the bill, and what’s already included
The price per guest is rarely the whole bill from a venue. Below are fees that turn up in price lists and contracts. For some I name a venue that charges them, and one that doesn’t, so you can see it’s possible either way.
- Meals for suppliers. The photographer, the DJ, the videographer and the musicians work for well over ten hours and eat at the venue. Gościniec Oycowizna charges 300 PLN per person for such a meal. For a photographer, a videographer and a DJ that’s 900 PLN, for a five-piece band plus a photographer and a videographer it’s already 2 100 PLN. This item almost never makes it into the first budget draft.
- Children. Venues charge for them differently. At Oycowizna a child up to 12 costs 300 PLN instead of 400 PLN. Pałac Zegrzyński doesn’t charge for a child’s meal up to 2 years old at an outdoor wedding, and gives a 50% discount up to 12.
- Corkage. The fee some venues charge for alcohol you bring in yourselves. Gościniec Oycowizna, Pałac Lasotów, Stodoła Rasztów and Cicha 23 in Marki state they don’t charge it. How much it costs where it does apply, and how it’s calculated, I’ve covered in the post on corkage fees at wedding venues.
- A cake from outside. Some venues charge for cutting and serving a cake they didn’t make. Stodoła Rasztów states it doesn’t charge this fee.
- Power for the DJ or the band. I’ve seen venues that charge separately for a DJ plugging their equipment into a socket. It sounds absurd, and that’s exactly why it’s worth asking about directly.
- Service, not just the thing itself. Oycowizna includes a cloakroom in the price, but charges extra for cloakroom staff. Many items work this way: something is included, the staffing for it isn’t.
- Music and ZAiKS. Playing music at a private event requires a fee to ZAiKS, the Polish authors’ rights collecting society. According to its rate table that’s 10% of the musicians’ fee, but no less than 159 PLN for an event up to a hundred guests and 254 PLN up to two hundred. Ask the venue and the DJ who pays it and whether it’s already in the price.
Some venues also add things to the price. Pałac Zegrzyński gives the couple a suite, a welcome drink for guests, a photo session on the palace grounds and dinner on the first anniversary. Hotel Venecia Palace gives one free room for every ten guests, including a suite for the couple and rooms for the parents. Oycowizna includes unlimited soft drinks, table linen, chair decorations, a welcome glass of sparkling wine and a suite for the couple. When comparing two venues, compare the price together with what it includes, not just the rate.
Questions to ask the venue about what’s included in the price
Copy these into an email. An answer in writing will be more useful in a year’s time than a phone call. Questions about the contract itself, meaning the finish time, the deadline for confirming the guest count, and whether the price can rise before the wedding, are in the post on corkage. Here it’s just money.
- How much is a meal for the photographer, the DJ, the videographer and the musicians?
- What’s the rate for a child, and up to what age?
- Are soft drinks unlimited, or charged separately?
- Is there a fee for cutting and serving a cake from outside?
- Do the DJ or the band pay for power or for space for their equipment?
- Are the cloakroom, parking and cloakroom staff included in the price?
- Are tablecloths, table linen and chair covers included, or is that paid decoration?
- Is the price different on a Friday, a Sunday or off season?
- With fewer guests, does a flat fee or minimum apply, including on a Saturday?
- How many rooms are there for guests, at what price, and is any of them free?
- Who pays ZAiKS: the venue, the musicians or us?
Guest accommodation and transport: not always on site
A venue with a hotel looks like the simplest solution, but it has two limits: the number of rooms and the price. Gościniec Oycowizna has twelve rooms and a suite, meaning accommodation for about twenty six people, and a double room costs 300 PLN there. At a hundred guests, half of them travelling from far away, that’s still not enough.
A hotel nearby plus a minibus. A room at the wedding venue can cost more than one at an ordinary hotel a few kilometres away. A minibus with a driver for eleven to twenty people costs, at a Warsaw operator, from 2.20 to 2.50 PLN per kilometre. Two runs are usually enough: one around midnight for older guests, another after the wedding ends.
A wedding in the city. In Warsaw, most guests sleep at home or in a city hotel, so it comes down to getting people home after the wedding. A minibus around the city for up to four hours costs, by the same price list, from 200 to 450 PLN, less than two rooms on site.
Let guests who are paying for their own room know early, and give them two or three addresses nearby. In season, rooms near venues disappear faster than free Saturdays.
Two parties instead of one big one
If you have a large family and a lot of friends from school, university and work, the list quickly goes past a hundred people. It’s then worth costing out an option few people think of: a smaller wedding for family and closest friends, and a separate gathering for the rest, for example a dinner at a restaurant or an evening at a bar.
This isn’t automatically the cheaper option, since you’re organising two events. But a guest at a dinner usually costs less than a guest at a wedding with a full menu, drinks until morning and a room for the night, so past a certain guest count the maths can work in your favour. On the same assumptions as above:
- one wedding for 100 guests: 80 000 PLN,
- a wedding for 60 guests at 62 000 PLN plus a dinner for 40 friends at, let’s say, 250 PLN per person with drinks, meaning 10 000 PLN: 72 000 PLN in total.
That 250 PLN is again an assumption, not a price list. The Warsaw restaurants I checked don’t publish menu prices for parties, so you’ll need to ask two or three places directly. The saving from this example disappears quickly if you book a DJ for the dinner, hire the venue exclusively and invite everyone with a plus one. This option also has a cost that doesn’t show up on a spreadsheet: a second evening to organise. It does have one advantage you can’t put a price on: at a wedding for sixty guests, you’ll actually get to talk to everyone.
Where the budget leaks outside the venue
Running over time. Venues usually charge for every started hour past the agreed finish time. The decision gets made at one in the morning, while everyone’s dancing, and the bill arrives later. On top of that comes the DJ’s or the band’s overtime, since the music also has an agreed finish time. If you suspect you’ll want to keep going longer, agree this in the contract in advance, not at midnight.
Accommodation for suppliers. For a wedding far from Warsaw, accommodation isn’t only about guests, it also concerns the people working for you late into the night. For me, past two hundred kilometres from Warsaw an overnight stay gets added, and I mention it in the quote. Ask every supplier about this before comparing two offers.
A timeline that slips. Every hour of delay pushes back everything that’s billed by the hour: the music, the venue staff, sometimes the guest transport. I see the most delays in the same points of the day, and I’ve written about them in the post on the wedding day timeline.
What to save on, and what not to
The most sensible savings come from things you can still change later, not from things you can’t get back.
An outdoor session on the wedding day itself, instead of a separate one. A session on another day means hair and make-up a second time, a second day in your outfits, travel, sometimes an entry fee for a park or a palace. Half an hour after the ceremony, or a short walk out at sunset during the reception, gives you photos of the two of you in the same outfits, on the same day, without any of those costs. Ask your photographer whether a session like that fits into the coverage before you book a separate one.
Fewer extras at a small wedding. A photo booth, heavy smoke for the first dance, spark fountains, a bartending show, a host running games. Each of these costs anywhere from a few hundred to several thousand złoty, and a photo booth package with smoke and sparks runs to 2 100 PLN on a Warsaw price list. At a wedding for sixty guests, people came for you and for each other. If something new starts every half hour, a family gathering turns into an amusement park, and conversations at the table keep getting cut off.
A better photographer rather than a photo booth. I’m writing this as a photographer, so take that into account. If the budget forces a choice, think about what’s left after years. A photo booth gives you funny photos with props that guests take home. A photographer who stays until the end gives you photos of the party itself: the dance floor, a grandmother dancing with her grandson, a table where someone’s telling the same story they tell at every family gathering. You can’t get the second kind made afterwards.
Easy to let go of, no regrets: some decorations nobody will remember, a second dress, table favours, paper invitations for friends you message every day anyway, an album ordered straight away. You can order the album a year later, once the budget has cooled off.
Not worth saving on: things you don’t get a replay of. You can order the food again for an anniversary, you can put the dress on again. A day when the whole family sits at one table can’t be made a second time. A grandmother who came for the ceremony and left for home before the meal will only be in the photos if someone noticed her between the pews.
Fees you know in advance: the registry office and the church
A civil ceremony costs 84 PLN in stamp duty for drawing up the marriage certificate. If the ceremony is to take place outside the registry office, for example in a garden or at the wedding venue, an additional 1 000 PLN fee applies. Both amounts are stated on gov.pl. If you’re planning an outdoor ceremony, it’s worth knowing this early, since the registrar is one thing, and a tent plus a rain plan is another. A church wedding has no price list. The offering is agreed with the parish, and amounts vary between parishes enough that quoting a single figure makes no sense. Ask the parish office directly how much couples usually give, and add the organist’s fee separately if the parish charges one.
When this money actually leaves your account
A wedding budget doesn’t go out the door in one day. The first payments go out a year or two in advance, as deposits for the venue and the suppliers who reserve your date. The rest is spread across the months before the wedding, with some due weeks afterwards.
So with every contract, ask not just how much but also when. Two offers at the same price can look completely different on a payment calendar. With me, the deposit reserves the date, and you pay the rest after the wedding.
Frequently asked questions
How much does a wedding for 100 guests cost in 2027? There’s no single reliable figure. Websites quote ranges from around 50 000 to over 140 000 PLN, with no information on how many weddings that’s based on. Work out your own budget as the per-guest cost times the number of guests, plus the fixed costs.
How much does a wedding for 60 guests cost? Less than for a hundred, but not proportionally. Music, the photographer, outfits and the registry office cost the same, so with fewer guests the cost per person goes up. Also check whether the venue has a flat fee or a minimum guest count, because then sixty guests can cost you the same as a hundred.
Is a Friday or Sunday wedding cheaper? Often yes, but few venues publish it. Gościniec Oycowizna gives a 10% discount on Fridays and Sundays, Dworek Białołęka mentions a Friday discount. Ask about the price for each of the three days.
How much does a meal for the photographer and the DJ cost? Whatever the venue charges. The only published rate I found is 300 PLN per person at Gościniec Oycowizna. Multiply it by the number of people working for you.

What costs the most at a wedding? Usually the venue with the menu, because it’s a cost per every guest. At a hundred guests even a small difference in the per-guest price adds up to several thousand złoty on the whole bill.
Does the guest count change the photographer’s price? Not with me. A wedding of eighty and a wedding of a hundred and fifty guests is the same working day and the same editing.
What are the hidden costs of a wedding? Most often meals for suppliers, a flat fee or minimum guest count, running over the agreed finish time, corkage and a fee for a cake from outside, staffing charged separately from the thing itself, accommodation for suppliers at a wedding far from home, and the ZAiKS music fee. Most of these aren’t in the per-guest price, so you need to ask about them directly.
When do you pay for a wedding? Deposits for the venue and suppliers usually go out when you book the date, often a year or more before the wedding. The rest is paid on the dates set in the contracts, some of it only after the wedding.
One last thing
You don’t need someone else’s average. You need two numbers: what one guest costs at your wedding, and what the fixed costs come to before anyone sits down at the table. Those two numbers, plus the venue’s answers to the questions above, will give you a budget more accurate than any range from the internet.
